Job Description:

The Ability Center is a non-profit organization that helps individuals with disabilities gain and maintain independence in everyday living and encourages them to become active members of their communities. We offer a variety of programs, services, as well as promote understanding of disabilities. Located in Sylvania, Ohio, we serve seven counties in northwestern Ohio, including Lucas, Ottawa, Wood, Fulton, Henry, Defiance, and Williams.

Position Summary: The Administrative Assistant position provides customer service to visitors and guests of The Ability Center. They provide front desk phone coverage along with needed clerical support to staff and groups as needed and requested by supervisor. Will also support Information and Referral as needed by responding to consumer calls at the front desk, answering questions and responding to concerns.

Essential Duties and Responsibilities:
1. Responsible for opening the Center including turning lights on, making coffee, checking copier, scanning sign in sheets, and making sure lobby is clean and organized.
2. Answers incoming calls at the front desk, routes calls to appropriate staff and greet visitors in the front lobby area. Transfers all phone messages and routes e-mails messages to appropriate staff.
3. Facilitates the incoming and outgoing mail function at the front desk, which includes operation of postal meter. Responsible for adding postage to the meter. Distributes daily incoming mail to staff mailboxes.
4. Manages the inventory of office supplies
5. Provides general clerical support services to Center staff through documentation, stuffing envelopes, mailings, filing, data entry, database entries, composing letters, and other clerical duties as assigned.
6. Updates the front desk procedure handbook and keeps information accurate.
7. Keeps up-to-date with all emergency information updates.
8. Transportation duties include maintaining vehicle usage logs and distributing TARPS passes.
9. Documents necessary consumer information in databases according to Center guidelines.
10. Trains back up personnel to perform essential functions of front desk responsibilities as needed.

Qualifications: Two to three years’ receptionist experience. Experience operating multi-line phone system and strong computer/word processing skills.
Conscientious and thorough attention to detail; excellent organizational skills. Ability to focus and remain positive/friendly amidst distractions. Ability to respond calmly, professionally and politely in crisis situations. Displays a helpful, positive attitude at all times. Maintains effective working relationships with all ACT staff, callers, consumers, and community businesses/agencies. Positive attitude toward the needs, abilities, and rights of persons with disabilities.
