Job Description:

The Collingwood Arts Center is looking to hire a Support Manager to be responsible for the general operation of our office and coordination of a variety of tasks. Duties will involve bookkeeping, greeting visitors, answering incoming phone calls and emails, managing records, and being the point-person for building operations.

Collingwood Arts Center offers a unique, fast-paced environment. To be a successful hire, you will need to have prior experience in office administration and knowledge of Quickbooks. You will also need to be proficient in Microsoft Word and Excel.

Responsibilities

  • Serve as the point person for office manager duties including:
    • Events
    • Maintenance
    • Mailing
    • Supplies
    • Equipment
    • Bookkeeping
  • Perform all bookkeeping for including tracking payments, paying bills, and preparing deposits.
  • Greeting visitors, answering a high-volume of incoming phone calls and emails
  • Schedule meetings and appointments
  • Serve as executive assistant to Artistic and Managing Directors
  • Maintain the office condition and arrange necessary repairs
  • Organize and streamline office operations and procedures
  • Receive and track tenant payments; assess late fees
  • Coordinate maintenance requests and repairs
  • Coordinate volunteers including tracking hours and accomplishment
  • Ensure that all items are invoiced and paid on time
  • Provide general support to visitors
  • Ensure that forms and marketing materials are up-to-date and available
  • Point person for the retention, protection, retrieval, transfer, and disposal of records
  • Schedule and coordinate event rentals
  • Give building tours as needed
  • Lease and track studio rentals.
  • Being a kind and active participate in Collingwood Arts Center
  • Complete any action in accordance with CAC’s mission and core values.

Requirements

  • Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
  • Commitment to being a team-player
  • Experience and high-level knowledge QuickBooks
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Word, in particular)
  • Ability to learn new technology
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong interpersonal and conflict resolution skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
  • High School degree; come college preferred.

20-25 hours a week. Some evenings and weekends required. $15/hour (non-negotiable). No health benefits. All hires are subject to a 90-day probationary period.
